Receptionist Administrator

Job summary

We are looking for Receptionist/Administrators to join our busy, friendly receptionist team.

The ideal candidates will have reception experience and be capable of multi-tasking as you will assisting patients both on the telephone and face to face, be first point of contact for external healthcare providers and undertaking administration.

You will be motivated, hard-working, enthusiastic, professional, friendly and flexible.

Main duties of the job

We are looking for highly motivated people, who can work in a busy environment and who have excellent customer service skills. You must be capable of working as part of a team whilst using your own initiative. You are expected to provide a first class service to patients, projecting a positive and friendly image and act as a point of contact between patients and clinical staff.

The Practice is open 7 days a week to offer patients increased access and improve our staff's work:life balance. Successful applicants will work a fixed pattern over several days. We are looking to increase our workforce and have a number of positions available:

Position 1

Saturday 8.45am-5pm, Sunday 8.45am-5pm, Tuesday 2pm-8pm (total 22.5 hours)

Position 2

Saturday 8.45am-5pm, Sunday 8.45am-5pm, Wednesday 7.45am-2pm (total 22.75 hours)

Position 3

Saturday 8.45am-5pm, Sunday 8.45am-5pm, Tuesday 2pm-8pm and Wednesday 7.45am-2pm (total 28.75 hours)

Additional hours may be available to the right candidate. Overtime is also available to cover annual leave.

Our clinical team comprising of 2 partners, 7 salaried GPs, Trainee GPs plus a highly experienced Healthcare Team, First Contact Physios, Clinical Pharmacists, Dieticians, Social Prescribers, Adult and Children Mental Health Practitioners, Practice Manager, Assistant Practice Manager, and experienced reception/administration staff make up a great team.

We are an innovative practice using Workflow Optimisation, Pathology Go, AskMyGP, Docman, Accurx and Care Navigation.

We aim to give our reception/administration team the opportunity to learn all aspects of the role, so improving knowledge and job satisfaction.

Job responsibilities

* Reception duties

* Operation of telephone system

* Management of appointment systems

* Care Navigation

* Management of manual medical records

* Processing prescriptions

* Preparation of consulting rooms

* Start and end of day opening & closing procedures

* Use of all computer systems

* Scanning of correspondence onto medical records

* Referral processing to other healthcare providers

* Completion of medical reports & subject access reports

Person Specification

Qualifications

Essential

  • GCSE qualifications including Maths and English

Desirable

  • NVQ Level 3 in Customer Care

Experience

Essential

  • * Customer service experience
  • * Excellent IT skills
  • * Confident telephone manner
  • * Excellent written and verbal communication skills
  • * Flexibility to work additional hours
  • * Time management skills

Desirable

  • * Experience of working in a GP practice
  • * Knowledge of EMIS, Docman, AskMyGP
