Business Assistant

We have an exciting opportunity for two full time Business Assistants to provide admin support to the managers and teams within the Adult Mental Health Directorate. Both posts are for a 12-month fixed term basis.

The post holder will be based at the Bradgate Mental Health Unit with a blended approach to working from the office and from home.

The post holder will provide support, such as but not limited to, managing electronic diaries, organising and attending meetings, preparing agendas, taking accurate notes/minutes, and providing overall comprehensive administrative and/or secretarial support to an individual, clinical team or specific service area to harmonise efforts and specialisms of all disciplines to achieve effective and efficient functioning of the Directorates management team.

Main duties of the job

We are looking for someone who is caring and compassionate and who can develop relationships and communicate effectively with higher management. The post-holder will be a key member of the team, providing professional and efficient administrative services. You will need to organise, plan and prioritise your own workload, to be responsive to the changing needs of the service, utilising and maintaining electronic and hard-copy office systems to ensure the smooth-running of the service or team. For this role, you will be overseeing, planning, prioritising, and monitoring workflow for team and self.

You will liaise with peers and colleagues in a calm and compassionate manner and work positively and proactively as part of the wider administrative teams. You will be arranging meetings, preparing agenda, taking minutes and action notes/logs, data inputting and creating spreadsheets, ordering of equipment using a number of platforms, taking telephone enquiries and written correspondence with colleagues. You will be using SystmOne to record sensitive patient data, undertaking other general administration duties and working in a pressurised environment with constant changes to your workload.
